Purpose of Job

Alpha USA is seeking a highly organized, detail-oriented Marketing Coordinator to join our dynamic Communications and Marketing team. The ideal candidate will be responsible for coordinating and executing marketing and communication projects, ensuring they are completed on time, within budget, and aligned with Alpha USA's brand and objectives. This is an excellent opportunity for someone with strong project management skills and a passion for communications and marketing.

Responsibilities (included but not limited to)

Project Coordination:

  • Collaborate with the Marketing and Communications team to plan, execute, and track multiple projects simultaneously.
  • Develop and maintain project timelines, ensuring deliverables are met according to schedule.
  • Coordinate with internal teams, external agencies, and vendors to ensure project goals are achieved.
  • Support the creation of marketing materials and communication strategies, ensuring quality and consistency.
  • Assist in the development of content calendars and marketing plans.

Department Support:

  • Help ensure marketing campaigns, projects, content calendar and new initiatives are tactically executed with consistency and excellence.
  • Provide administrative support on projects Including but not limited to podcasts, email campaigns, digital, print, and social media.
  • Support the Marketing Director with calendar, internal and external scheduling, meeting agendas and notes.
  • Support marketing team members administratively as needed.
  • Track project budgets, ensuring expenditures stay within allocated limits.
  • Provide cost estimates for projects and assist in resource allocation.

Communication and Reporting:

  • Serve as a point of contact for all stakeholders involved in selected projects.
  • Prepare regular progress reports and updates for the Marketing Director and team
  • Assist in compiling and presenting performance metrics and project outcomes.

Process Improvement:

  • Identify and recommend improvements to streamline project workflows.
  • Help manage and maintain project documentation, files, and archives for future reference.

Essential Skills, Knowledge and Experience

  • 2+ years of experience in project coordination, preferably within a marketing, creative, communications, or related environment
  • Strong organizational skills with the ability to manage multiple projects simultaneously
  • Excellent written and verbal communication skills
  • Proficiency with project management tools (e.g., Monday.com) and Microsoft Office Suite
  • Knowledge of digital marketing practices, social media platforms, email platforms, and content creation processes is a plus
  • Ability to work collaboratively in a fast-paced team environment
  • Detail-oriented with strong problem-solving skills
  • Knowledge and experience of the vision, mission and values of Alpha USA
  • Familiarity with brand management and strategic marketing campaigns
  • Basic understanding of graphic design tools (Adobe Creative Suite, Canva, etc.) is a bonus
  • Alpha experience is preferred

Education

  • Bachelor’s Degree in Marketing, Communications, Business Administration, or related field is highly preferred

  • Project Completion Rate – Ensure 95%+ of marketing projects are delivered on time and within scope.
  • Content Calendar Adherence – Maintain 100% compliance with scheduled social media, email, and digital campaigns.
  • Task Board Management – Keep 100% of marketing tasks updated on Monday.com.
  • Process Efficiency – Reduce project turnaround time by 50% through improved workflows and task automation.
  • Campaign Execution Accuracy – Ensure zero critical errors in campaign deployment (wrong links, missing assets, etc.).
  • Cross-Functional Collaboration – Successfully coordinate at least 3 joint initiatives with other teams per quarter.
  • Reporting & Insights Contribution – Provide timely data on marketing efforts, including quarterly progress reports on campaigns and projects.
